Every figure here comes from the figures you enter and the method stated beside it: your fares, your nights, your hotel rate, your ground transport, your company's own allowance and caps. Where a worksheet borrows a public figure as a default, the federal standard lodging and meals rates for instance, the page names the source and the date it was read.
Business travel tracking is knowing where every traveler is, on which booking, and who to call if they are not where the itinerary says. It is the operational half of duty of care and the part a small company most often does by asking around. Perdiemo Pro keeps the register: every traveler away this week, the destination, the hotel, the flight, the emergency contacts, and the check-ins the travel risk management policy requires for an elevated-risk destination. The free policy worksheet on this site sizes that policy from the destinations the team actually visits.

Classify the destinations
Every destination the team travels to goes on the register with the company's own risk class, read against the State Department advisory level for the country on the day. The elevated ones get a briefing, a check-in schedule and named escalation contacts.
Keep the register current from the bookings
When a trip is approved and booked, the traveler, the dates, the hotel and the flight references are already on the trip, so the register is a view of the trips rather than a second list someone maintains.
Run the check-ins and the escalation
On an elevated-risk trip the policy sets check-ins a day and who is called if one is missed. Pro records each check-in against the trip and shows the escalation contacts beside the traveler's whereabouts.
What the office manager asks before using the Business travel tracking
Do we need traveler tracking software for a small company? You need a register that says who is away, where, and who to call. For most small companies that is a list kept from the bookings, which is what Perdiemo Pro does; a satellite tracking service is for elevated-risk destinations and sits beside it, not instead of it.
How does tracking relate to duty of care? Duty of care is the employer's obligation to take reasonable steps for a traveler's safety; tracking is how the employer knows where the traveler is so it can act. The travel risk management policy sets what reasonable steps the company takes for each class of destination.
What should the register hold for each traveler away? Destination, dates, hotel and its address, flight references, the emergency contacts on file, the destination's risk class, and the check-ins made. Perdiemo keeps all of those on the trip.
Will it hold your trip register, beyond the Business travel tracking?
